Privacy Policy (CheckTheFile)

1) Who we are & scope
This Privacy Policy explains how RUBLEV FZCO (“we”) processes personal data when you use CheckTheFile via WhatsApp or our website.

2) What we collect

• Messaging identifiers (e.g., your WhatsApp number/ID) to route responses and apply limits.

• Content you send (files/links) solely for analysis and delivery of a verdict.

• Technical logs (timestamps, IP/country by WhatsApp provider/web host), device and diagnostic data.

• Support data (messages to support@checkthefile.io).

• Payment metadata (only when paid plans launch) via our payment processor; we do not store card numbers.

3) How we use data

• Provide the Service (receive your file/link, perform analysis, return a verdict).

• Operate, secure, and improve the Service (fraud/abuse prevention, rate-limits).

• Communicate service updates (e.g., changes to limits, maintenance).

• Comply with legal obligations.

4) Files and retention (current phase)
We aim to process files in-memory and do not retain them beyond analysis unless a third-party provider needs temporary storage to produce a verdict. Where a provider retains samples or metadata under its own terms, this will be limited to what is necessary to deliver the verdict and protect platform integrity. We review providers to minimize retention and enable private modes as they become available to us.

Beta notice. During the beta, some file checks may be performed manually to ensure accuracy and reliability. Files are still processed only for providing the Service and are deleted after completion.

5) Lawful bases & transparency
Our primary legal bases: legitimate interests (operate a security checking service; fraud prevention), and performance of a contract (respond to your request for a verdict). Where required, we will obtain consent (e.g., for optional marketing). We provide transparency consistent with UAE PDPL and widely used international standards.

5.1 Compliance with law

We process data as necessary to comply with applicable sanctions, anti-abuse and fraud-prevention laws and our providers’ requirements.

6) Sharing with third parties
We share data with:

• Security analysis providers strictly to analyze your file/link.

• WhatsApp Business API provider(s) for message delivery and support escalation (email/web support).

• Hosting/payment vendors (when applicable).
  We do not sell personal data.

7) International transfers
Data may be processed outside your country (including in the EU/US/UAE). We use contractual and technical safeguards consistent with applicable data protection requirements for cross-border transfers.

8) Security
We use administrative, technical, and organizational measures proportionate to the risk (segregated credentials, least-privilege access, TLS in transit). No method is 100% secure.

9) Your rights
Subject to applicable law, you can request access, correction, erasure, restriction, or objection to processing; and data portability where applicable. We will respond within required timelines. Requests: support@checkthefile.io.

10) Data retention
We keep personal data only as long as necessary for the purposes above or as required by law/regulators, then delete or anonymize it. If paid plans launch, we keep basic billing records as required by tax and accounting rules.

Technical logs are retained for up to 12 months for operational and compliance purposes.

11) Children
The Service is not directed to individuals under 18 years of age; do not use it if you are under the relevant age of consent in your country.

12) Changes
We may update this Policy without prior individual notice; the “Effective Date” shows the latest version. Material changes will be highlighted on our site.
